2020 - 2021 Officers


Roles + Process

Elections Held in February

PRESIDENT

The president’s primary role is to ensure that the club’s professional and leadership development activities are successful and that its service projects benefit the community.
​
Responsibilities include:
  • Conducting effective club meetings with detailed agendas that allow enough time for reports from officers and committee members
  • Chairing meetings of the board of directors & officers​
Picture
  • Appointing all standing and special committees, with board approval, and serving as an ex officio member of all committees
  • Appointing committee chairs based on individuals’ experience, and seeking their opinions about committee members
  • Delegating responsibilities to help members develop their leadership skills for future club leadership roles
  • Encouraging club members to get involved in projects by building on their skills and interests
  • Ensuring that club activities and service projects are successfully promoted and executed
  • Monitoring membership to maintain an age and gender balance
  • Communicating and collaborating with the Rotarian advisor (Rotaract Chair), Rotary club members, and district Rotaract officers. The president should also consult with the faculty adviser.
  • Updating club information and membership data every six months through Member Access

VICE-PRESIDENT

Vice President is to mirror and assist the president in their duties, ensuring policy is worked through and supporting the president in times of crisis. As well as making power-points and assigning rides for events .

Responsibilities also include:
  • Presiding over meetings in the president’s absence
  • Serving on the board of directors and as an ex officio member of all committees
  • Handling special assignments as directed by the president
  • Staying current on club goals and activities + work along Director of Community Service
  • Succeeding to the office of president in the event of a vacancy

SECRETARY

The Secretary is responsible of communications within the club. He/She is responsible of sending out reminders, opportunities, and a recap of general/board meetings. He/She is also responsible of receiving club emails and forwards emails to respective directors or committees, reserving board and general meeting rooms and times on Astra (UC Merced Room Reservations), as well as send reminders through Remind.

Secretary may conclude other miscellaneous clerical work .


Responsibilities include:
  • Maintaining all club records along with club affairs, including membership, committee appointments, attendance, dues payments, and important club documents such as the club’s certificate of organization, budgets, and reports.
  • Notifying the sponsor Rotary club of club members who are turning 30, to help it identify potential Rotarians
  • Providing club and member information to the president for regular updates to RI
  • Taking minutes — a clear, concise written record of meeting discussion and actions — at all club meetings. Minutes should cover these points:
  1. Date, time, and place– Presiding officer
  2. Attendance
  3. Approval and correction of last meeting’s minutes
  4. Summary of reports from officers and committees
  5. Summary of agenda (including old and new business) and actions taken
  6. Announcements
  7. Adjournment

TREASURER 

He or she is responsible in collecting dues, handle the club's funds, monitor club spending, create and approve purchase orders (ex. club snacks, parking, club shirts) for Connie or Cathy (Purchasing Specialists in OSL [Office of Student Life]) . 

Responsibilities include:
  • Chairing the finance committee
  • Collecting membership dues
  • Depositing dues and all proceeds from fundraising projects
  • Paying all club bills and reimbursements for club expenses
  • Preparing and administering the budget and work along with Director of Social Affairs
  • Preparing a monthly report that accurately details
  • Money on hand at the beginning and end of the month
  • Income, with its source (such as membership dues or fundraising) clearly indicated
  • Payments, indicating for what and to whom
  • Ensuring that the club complies with all government financial reporting requirements

DIRECTOR OF COMMUNITY SERVICE 

The Director of Community Service is responsible of scheduling and confirming service events at the Presidents discretion. He/She must assure the service events are taken care of, uploaded events to catlife, google calendar, upload event information into a word doc to confirm Director of Social Affairs has the correct information to advertise and publish the event on the website.

DIRECTOR OF CLUB AFFAIRS

He or she must record service events and tabling hours. He/She must request tabling days, create tabling signups, record new potential members and enroll them into our club's emailing list. Advertise tabling on social media. Assist secretary in any needs they may have. He/She is responsible of coordinating socials/professional conferences. File general meetings and officer meetings on Catlife for approval.

DIRECTOR OF FUNDRAISERS

Write and present any ICC / ASUCM bills for the club. Create an annual budget call for ASUCM for funding held in Early February. Look for potential sponsors to sponsor events or the club. Create & coordinate fundraisers at the president’s discretion/need of the club.  Director of Funds. must work with the Treasurer.

DIRECTOR OF SOCIAL AFFAIRS

He or she must design an annual club shirt & Bobcats in Action shirt.  Must create Google forms for service events, updating the club's website, responsible of taking photos of events. Design flyers for meetings, theme of the month advertisements, service events , and fundraisers flyers. PRINT & PROMOTE flyers of any events including general meetings through campus and advertise through social media accounts. Ex. Facebook & Instagram.

IMMEDIATE PAST PRESIDENT

Your club’s immediate past president can provide useful feedback and perspective in the planning of club activities. He or she can assist with special projects and provide support for board and club members.

ELECTION PROCESS

1. Election for the offices of vice-president, secretary, treasurer, and directors shall be
held annually prior to 1 March. A Rotaract club year is the same as a Rotary club year. Those elected shall take office on 1 July. 
  • Nominations -> February 1st to 14th 
  • All elections will be taking place in Catlife -> February 15th to 28th.
  • Board for the following year will be announce the following day.
2. Nominations of officers shall be made prior to elections. 
3. A New president must be on the Board or officer for at least 1 year. 
  • President-Elect will serve as the President for the following Year 
  • If more than one candidate running for president, those candidates receiving a majority of the votes of the members present and in good standing shall be elected.
  • President-Elect is nominated around the End of September - Early October
3. In addition to president-elect, vice-president, secretary, and treasurer there shall be elected directors.
